Getting started: create a project and areas

A project corresponds to one construction site. Within a project you divide the work into areas, for example shell construction or electrical.

  1. On the project list, tap New project.
  2. Enter a Project name, optionally an Address, and tap Save.
  3. Open the project. In Overview, use Add area to create areas and give each one an Area name.
  4. At the bottom you will find Overview, Timeline, Work hours and More. The round plus button (Document) creates new entries.

The free version includes 1 project; Premium allows any number (see “Buy and restore Premium”).

Document progress

Progress is recorded per area. The overall progress of the project is the average of all areas.

  1. In the project, tap the plus button (Document) and choose Progress.
  2. Select the Area (it must exist already), set the Progress with the slider and describe the work under Description.
  3. Optionally add a location or room and photos.
  4. Tap Save. The entry appears in the Timeline and the overall progress in Overview is recalculated.

For remarks without a percentage, choose Note. Use the magnifying glass at the top (Search) to search the project; tap an entry and use Edit to change it.

Take and mark up photos

Photos always belong to an entry. You draw a mark with your finger; the original photo stays unchanged.

  1. When creating an entry, tap the add button in the Photos field and choose Take photo or Choose from gallery.
  2. Tap a newly added photo. Annotate opens: draw, for example, around a defect. Undo removes the last stroke.
  3. Save the mark with Save and then the entry with Save.
  4. You find saved photos under More → Photos. Open a photo and tap Annotate to mark it afterwards.

Record and resolve defects and obstructions

A defect is a found fault. An obstruction is a circumstance that hinders or delays the work, such as missing material. Both have a status.

  1. Tap Document and choose Defect or Obstruction.
  2. Describe the problem and add photos. For a defect you also choose the Area. For an obstruction you can switch on Affects construction progress.
  3. You find open entries under More → Defects or Obstructions (filters Open and All).
  4. Once the problem is solved, tap Mark as resolved (defect) or Mark as done (obstruction) on the entry. The status changes to Resolved or Done; the entry stays in the history.

Record working hours for several employees

Employees do not need their own access. You enter their hours in the project.

  1. In the project, open Work hours and tap Manage employees. Use Add employee to create the employees.
  2. Tap Add hours.
  3. Under Employees select one or more employees and enter Date, Start, End and Break (minutes).
  4. Optionally write a Note (optional), for several employees one per employee. Save the entry.

The daily summary shows the total time. Working hours also appear in the PDF report.

Create and share a PDF report

The report summarizes progress, defects, photos and working hours for a period.

  1. Open More → PDF reports and tap Generate report.
  2. Under Report period choose either Complete project history or Choose a period.
  3. Check the preview. The save icon stores the report in the list; sharing and printing are in the bar of the preview.
  4. Open saved reports from the list and share them again, for example by email or messenger. With Export as JSON you export the data as a JSON file.

Exported PDF and JSON files are not encrypted. Share them only with people who are allowed to see them.

Create and restore a backup

A backup always covers one project and is encrypted. There is no cloud sync.

  1. In the project, open More → Backup / Restore.
  2. Tap Create backup. Optionally set a password under Backup password (optional) and tap Create.
  3. Use Share to save or send the backup file outside the app.
  4. To restore, tap Restore in the list and choose Import as a new project or Replace this project. Enter the password if asked.

With a password the backup is protected by your password; without one it is tied to this device. HEPLANO cannot reset a forgotten password. Create backups regularly: without a backup your data is lost if you delete the app or lose the device.

Buy and restore Premium

The free version includes 1 project. Premium unlocks any number of projects for a one-time 79.99 €, no subscription.

  1. On the project list, tap the gear icon at the top (Settings) and open Premium.
  2. Tap Buy Premium. The purchase runs through Google Play and is tied to your Google account.
  3. After a reinstall or on a new device, sign in with the same Google account and tap Restore purchases under Settings → Premium.
  4. The current status is shown there as Premium active or Free plan.

Refunds follow the terms of Google Play.

Set up the app lock

The app lock is optional and off by default.

  1. Open Settings → App protection.
  2. Switch on App lock and confirm with fingerprint, face or device code.
  3. The next time you open the app, it asks you to unlock it.

If the function is not available on your device, check whether a screen lock or biometrics are set up in the Android settings.

Change the app language

By default the app follows your device's system language and offers 16 languages.

  1. Open Settings → Language.
  2. Choose System language or a language from the list.

Use voice input

With the microphone icon you dictate descriptions and notes. Voice input is optional; you can also type.

  1. In a description field, tap the microphone icon (Start voice input).
  2. Before the first use, the notice Voice input uses the internet appears. Continue with Got it, continue; Android then asks for the microphone permission.
  3. Start speaking. The recognized text appears in the field and can be corrected at any time.

Speech recognition is done by your device's service (on Android usually Google) and mostly needs internet. HEPLANO does not store audio and only receives the recognized text.

Archive a project and delete data

Archived projects are read-only but remain fully preserved.

  1. Open the project and then More → Project settings.
  2. Archive project makes the project read-only; Reactivate project makes it active again.
  3. An empty project can be deleted right away with Delete. A project with content must be archived first and can only then be deleted.
  4. Permanent deletion irreversibly removes all entries, photos and reports of the project. Create a PDF report or a backup beforehand if needed.

In the free version, an archived project still occupies the place for the one project.
