Share a Calendar With Your Parents: Enter Appointments From Afar

With Google Calendar, relatives enter appointments, and they appear under “Today” on your parents’ phone. The phone needs a Google account for this. The account is free.

Short answer

The phone gets a Google account. The calendar of this account is shared with relatives on a computer. After that they enter appointments there, and HEPLANO displays them.

Part 1: Prepare the phone (once)

  1. Open the settings of the phone. This is the gear of Android, not of HEPLANO.
  2. Choose “Accounts and backup”. On some phones it is called “Accounts” or “Users and accounts”.
  3. Choose “Add account” and then “Google”.
  4. Sign in with the Google account. You can create a new account just for this phone.
  5. Tap the account and check whether “Calendar” is switched on for synchronization.

Part 2: Share the calendar (once, on a computer)

  1. On the computer, open calendar.google.com and sign in with the Google account of the phone.
  2. On the left under “My calendars”, find the calendar with the name of the account.
  3. Move the mouse over it, click the three dots and choose “Settings and sharing”.
  4. Under “Share with specific people or groups”, click “Add people and groups”.
  5. Enter the email address of the relative.
  6. Under “Permissions”, choose “Make changes to events” and click “Send”.
  7. The relative gets an email and accepts the invitation.

Part 3: Enter appointments (any time)

  1. Open Google Calendar, on a computer or in the app on your own phone.
  2. Tap “Create” or the plus and choose “Event”.
  3. Enter title, day and time, for example “Doctor, 10:30”.
  4. For the calendar, choose the shared calendar of the phone, not your own.
  5. Save. The appointment appears in HEPLANO under “Today” after a short time.

If an appointment does not appear

  • Wait a few minutes. Android does not fetch new appointments at once.
  • In HEPLANO under “For relatives” and “Permissions”, check whether “Calendar” is allowed.
  • Open the Android calendar app once. This starts the synchronization.
